The Communications Department and Information Technology Services are launching a new system to reduce the volume of internal e-mail announcements at City of Hope while improving employees’ access to information on events and offerings.
Starting this week, employees will receive a consolidated e-mail twice a week. The e-mail will highlight two weeks’ worth of upcoming seminars, lectures, events and special offers. These listings will link to the newly formatted City of Hope master calendar online. The master calendar will provide full details on events and listings and include links to flyers or other supporting documents. Those wishing to access the calendar directly will find it on the intranet at http://calendar.coh.org.
“The organization will benefit greatly from having a complete master calendar of events,” said Brenda Maceo, senior vice president of communications. “The calendar will serve as a single point of information for employees to learn about events happening on campus, as well as City of Hope events taking place across the country. The semiweekly e-mails will provide a way to promote upcoming events in a more organized way.”
Jim Murry, chief information officer, said the system offers several advantages. “Our current stream of e-mail announcements creates a significant strain on our servers,” Murry said. “This is not only about making it easier for people to access information, but also being more efficient in how we flow information through our organization.”
Those seeking to list an event may go to http://calendar.coh.org and complete an online request form. A calendar coordinator in the Communications Department processes the requests and posts approved listings on the master calendar, and e-mail listings are automatically sent to staff twice a week.
