How do I request access to EpicCare Link?
EpicCare Link Home Page: Navigate to www.cityofhope.org/carelink. Select the Request New Account button. Select your role (how you will interact with EpicCare Link). Fill out the User Information form. Your request will then be reviewed by designated City of Hope staff.
 
How will I receive my login credentials?
Once your account request has been approved you will receive a letter containing your initial login credentials. You will then need to change your password the first time you access your EpicCare Link account.
 
I forgot my password, how do I retrieve it?
If you have forgotten your password, you can contact your City of Hope EpicCare Link liaison, the City of Hope ITS Help Desk at (626) 218- HELP or you can contact your clinic’s designated EpicCare Link site administrator who will be able to change your password.
 
Can I change my password in EpicCare Link?
Yes, once you have an active account you will be able to change your own password within EpicCare Link, using the Utilities and User Settings activities.
 
I am moving to a new clinic. How can I update my EpicCare Link access to the patients at my new location?
Please call the Help Desk (626) 218-HELP to change your clinic location. This action will require review and additional approval. Note that not all clinics will have access to City of Hope EpicCare Link.
 
EpicCare Link features for referring providers
 
What information can referring providers view within EpicCare Link?
From EpicCare Link you will be able to view a read-only summary of your patient’s City of Hope Epic chart. Within the chart you will be able to view visit summaries, lab results, medications, procedures, allergies and most other clinical documentation in the patient’s chart. You will also be able to upload relevant documents and link them with the orders you place on the patient. Additionally, you will also be able to track the status of any orders that you placed on your patient via EpicCare Link.  Note that some content, related to mental health, will be marked as sensitive and will not be available to view within EpicCare Link. 
 
What actions can referring providers take within EpicCare Link?
You can send and track the status of an electronic referral to City of Hope directly within EpicCare Link.  You will also be able to place electronic screening mammogram orders to be completed at City of Hope.
 
Can I send and receive secure electronic messages in EpicCare Link?
Yes, through EpicCare Link you will be able to send and receive secure messages with City of Hope providers.
 
EpicCare Link features for lab ordering providers
 
What information can lab ordering providers view via EpicCare Link?
Providers who are using EpicCare Link to place lab electronic lab orders at City of Hope will be able to view lab results, allergies and medications on their patients.
 
What actions can a lab ordering provider take within EpicCare Link?
A provider can place electronic orders for a prevetted list of lab orders to be completed at City of Hope labs and view their results electronically. They can also review and trend past lab results.
 
What can I do if the lab test I would like to order is not available within EpicCare Link?
The available list of lab tests has been preapproved by the City of Hope lab department. If it is not listed in EpicCare Link then it is not available to external providers at this time.
 
Can I track the status of orders I place in EpicCare Link?
Yes, you will be to see when specimens are received by City of Hope, and see the real-time results of orders that you place in EpicCare Link.
 
EpicCare Link features for research study monitors:
 
What information can research study monitors view within EpicCare Link?
From EpicCare Link you will be able to view a read-only summary of your patient’s City of Hope Epic chart. Within the chart you will be able to view visit summaries, lab results, medications, procedures, allergies and most other clinical documentation in the patient’s chart. Anything with an icon that looks like this: is associated with the patient’s research study.  Note that some content, related to mental health, will be marked as sensitive and will not be available to view within EpicCare Link. 
 
What actions can study monitors take within EpicCare Link?
None.  Study monitors are view-only.
 
Can I send and receive secure electronic messages in EpicCare Link?
No.  Study monitors cannot send messages through EpicCare Link.  For questions or messages regarding the patients that you are monitoring, please contact the appropriate study team member at City of Hope.
 
Site administration
 
What is the role of the clinic site administrator?
Clinic site administrators are responsible for two roles:
Site Verification: Every six months, site administrators will be prompted to verify all users at their site. If any users have left the clinic/facility or no longer require access to EpicCare Link, their status should be changed to “no longer active.”
Manage My Clinic: Site administrators will have access to a list of all Link users from their clinic/facility. They can deactivate users at any time, using the Manage My Clinic activity, they can also request new user accounts for delegates.
